What is the Heroes of the Shadow World Convention?
It’s a 3-day event featuring activities that celebrate the television series Shadowhunters and gives fans the chance to interact with the cast and crew on a variety of levels including panels, autographs, photo ops, chats, workshops, and even a concert from artists featured on the show.
In addition, the event is in part a fundraiser for The Trevor Project, an organization close to the heart of the fandom. This event is about family, love, representation, and creating the ultimate reunion of cast, crew, and fans.
Where and when is the convention taking place?
Heroes of the Shadow World is scheduled for April 3-5, 2020, at the InterContinental New York Times Square Hotel in New York City.
What time is the convention?
The convention is from 9:30am to 6:30pm Friday, Saturday and Sunday. Some additional extras such as parties may be after or before these hours.
Why are there two panel rooms and how will that work?
In order to accommodate a larger number of fans at the venue, two panel rooms will be in use during the event. Both panel rooms will include the same daily Q&A panels. The only difference in experience will be the size of the room. When purchasing tickets there will be an option to select the panel room of your choice (subject to availability).
Details on Opening and Closing ceremonies will be released closer to the event, however, all ticket holders will have access.
Can I sit with my friends in the panel room?
Yes. We have a system in place that, if completed during the process of purchasing tickets, will allow groups to sit together (please see How To Request Group Seat Assignments for more information).
When do I register to pick up my tickets?
Registration for 3-day ticket holders will occur on Thursday, April 2, from 4 to 7 p.m. For 2-day and 1-day ticket holders, registration takes place from 8-9 a.m. on the date listed on the ticket (please see Event Registration)
What if I miss registration or arrive late?
If a ticket holder misses appointed registration times, we cannot guarantee registration in time to attend all scheduled activities or extras. There will be no right of refund due to late arrival or absence during scheduled registration times.
Are there cosplay rules?
If you would like to cosplay, that is okay as long as there are no weapons or extremely large portions of your costume (like life-sized wings).
Due to increased security we will not allow anything resembling a weapon into the convention and do not recommend anyone attempting to travel with anything resembling a weapon of any kind.

How many passes are available?
All passes have limited availability. However, the most limited are the Infinity, Wisdom, Empathy, and Inspiration pass levels.
Is there the possibility to upgrade my pass?
Yes, you can upgrade your pass to a higher category. Please contact us via email@example.com to discuss the details.
If I purchase a pass and I can no longer attend, can I get a refund?
No. There are no refunds. Transfers will only be possible when a transfer window is announced (please see Terms & Conditions of Sale).
Is there a limit of how many passes I can purchase?
No. However, each pass requires a first and last name at the time of purchase. A matching valid legal ID must be presented in order to claim the pass during event registration.
Can an adult with a parent pass purchase extras?
No. Parent passes allow adults entrance to the event venue, but they may not purchase extras and do not have access to the panel room.
What is a Superfan Pass?
Superfan passes are specifically curated passes for certain guests. Please see this page for more information.
How do I get the extras included in my pass?
Extras have been reserved for you. Prior to the event, vouchers will be emailed to you. These will allow you to add the extras to your shop account.
Can I purchase extras without a pass?
No. A pass is required to purchase all extras.
“Extras” refers to autographs, photos, and any guest experience separate from pass offerings.
How can I purchase extras?
Extras are available for purchase exclusively through theconvention website. Dates and times for purchasing extras will be released periodically as guests are announced. Follow us on social media to get all the latest details.
How do I see what I have ordered?
Vist the My Account page, log in and you will be able to see everything in your account purchased on this website.

How many times can an extra be redeemed?
Extras may be redeemed only once. For example, an autograph extra is good for one autograph and may only be redeemed one time.
Are extras limited in availability?
Yes. Like passes, only a limited number of extras will be available for purchase for each guest.
Is there a limit of how many extras I can purchase?
In general, no. However, for some guests there may be limitations in order to ensure all pass holders get a chance at extras for their favorite guests.
Can I cancel extras or passes after purchase and obtain a refund?
No there are no refunds after purchase.
Will Photo-Op prints be available for Autograph Sessions?
If you have a three day pass we recommend booking your photo op one day before your autograph, however we will make our best endeavours to schedule photo ops before autograph sessions on the same day, but cannot guarantee it.
You may get photos signed that were purchased from us (official headshots of the guests and/or Cally’s drawings), plus official merchandise. Some items can be pre-approved by us, If you have a special item, email us for pre-approval.
Signing any items is up to the guest’s discretion.
What guests will be attending and when will they be announced?
Heroes of the Shadow World will feature a variety of guests from both the cast and crew of the TV series Shadowhunters.

What do the guest categories mean?
Every individual who was involved in the production of the TV series Shadowhunters is a special guest, which means they will all have a moment in the spotlight. As guests are revealed, they will be introduced within a category that reflects their overall storyline or role on the show. Categories determine what extras for each guest are included in various levels of passes (please see Pass Levelsand Guest Categoriesfor more information).
Will all guests attend all three days?
All guests may not be able to attend all three days due to professional obligations. However, every effort will be made to schedule guests for as many days as possible during the event.
What happens if a guest cancels their appearance at the convention?
A guest may cancel their appearance at the event for professional reasons. No refund of the pass or extras will be given. However, the option of exchanging extras for an alternate guest or activity will be offered.
Will it be possible to create a fan book for the guest or a fan project dedicated to a certain guest?
Guests prefer that you donate to their selected causes.
Do you have a cancellation policy for hotel bookings?
In order to obtain the discounts that we have with the hotel there is no cancellation. If you wanted to pay the full rates then you can book directly with the hotel and have the cancellation options.
Are press passes available?
Yes. A very limited number of press passes are going to be available. Please visit our press site for more information.
